BrokerWare System Updates

System Updates

New Features & Enhancements

New Global Default - Workflows

  • When workflows are enabled in Global Defaults, the system allows you to generate and enforce workflow requirements for specific processes, including Customer Management, Carrier Management, and Accounting (AR/AP) management.
  • Link to Knowledge Base Article: Workflows

Unbilled Report

  • The new Unbilled Report (Reporting → Accounting) shows shipments with unbilled receivables and payables—including amounts still in approval when workflows are used—and works with or without approval workflows.
  • Link to Knowledge Base Article: Unbilled Report

Additional Invoice Screen

  • New screen to create and manage additional invoices on shipments (e.g. accessorial and commodities), with support for multiple invoice types and optional use in AP audit.
  • Link to Knowledge Base Article: Additional Invoice

Customer Import Changes

  • Customer import now supports invoice preferences (e.g. email grouping, invoice method, backup docs, billing email, dunning/statement flags) and customer preferences (e.g. shipment defaults, linear feet popup, bar code format). You can also:
    • Assign existing sales reps to customers during import
    • Create and assign blanket markups
    • Apply credit and payment data
    • Apply excluded carriers
    • Set up master and sub-account relationships
    • Apply division assignments

CSR Process / Revision Process

  • When workflows are enabled, the CSR process is the customer setup workflow that routes new customers through configurable approval steps.
  • In Admin Tools you can define Credit Evaluation rules for new customers and Revision approval rules for existing customers when revisions are submitted. The approval hierarchy and step priority are configurable.
  • Link to Knowledge Base Article: Customer Setup Request (CSR) Process Flow

Carrier Onboarding

  • When workflows are enabled, when a carrier is created a multi-step approval process is started to allow carriers to be vetted before becoming active.
  • Carriers enter the system as disabled and progress through up to three approval stages (Operations Review, Financial Review, and Final Review) with configurable user groups controlling who can approve at each step.
  • Reviewers at the Final Review stage can reject and restart the workflow back to an earlier step, and a "Pending Oracle" filter tracks carriers awaiting Oracle supplier ID assignment, with a resync button for failed integrations. All approval actions are logged for audit purposes.

AR Workflow (Oracle)

  • An AP Invoice must be created before the AR process can proceed.
  • Link to Knowledge Base Article: AR Workflow

AP Workflow (Oracle)

  • When an AP Invoice is created, it will proceed only if the invoice is in Delivery status, the Customer is successfully synced to Oracle, the Carrier is successfully synced to Oracle, and the invoice is not on hold; if any of these conditions are not met, the invoice will be routed to the Reconsolidation Screen.
  • Link to Knowledge Base Article: AP Workflow

Division Hierarchy

  • Global default - Strict tree-based data filtering by user division & subs. More pages filtered, Report Builder cascade filter added.
  • Link to Knowledge Base Article: Division Hierarchy
  • Link to Knowledge Base Article: Staff Admin Global Defaults

AR Credit Memo & Rebill Approval Workflow

  • When workflows are enabled, New multi-level approval process for credit memos & rebills.
  • Configurable rules by amount/variance/type, user groups per role (Credit → Controller → VP Finance), email notifications with direct links, pending queue with filters, approve/reject with reasons, full audit trail in shipment notes.
  • Ensures strict financial control.
  • Link to Knowledge Base Article: AR Credit & Rebill Approval Workflow

Second Invoice Workflow

  • When workflows are enabled, the Second Invoice Workflow handles the scenario where multiple carrier invoices arrive for a single shipment -- due to duplicates, additional charges, re-invoices, different vendors, or different PROs.
  • It adds a "Secondary" tab to the AP Audit page that routes these invoices through a four-step wizard: rate review against the active contract, balance due adjustment entry, optional customer invoice creation to cover the supplemental charges, and a final approval summary showing grand totals and margin impact.

Reconsolidation

  • This is a new screen where users can review, approve, or reject carrier invoices.

Accessorial Service Lane

  • This new feature gives the client ability to configure a specific service lane for accessorial charges.
  • Link to Knowledge Base Article: Accessorial Service Lane

Bank of America Integration

  • This integration enables users to pay invoices with Bank of America.

    • Full and partial refunds supported
    • Payment receipt (PDF and Excel) emailed to the customer and accountant upon confirmation
    • Finance team can log in directly to the CPP portal (Customer Payment Portal)

Naming Management

    • Dashboard tiles

  • Link to Knowledge Base Article: Naming Management

Invoice Preferences

  • BOL/POD Required Notification (Existing Renamed)
    • Marks that BOL or POD is expected for this payer. Used for messaging and display (e.g. “BOL/POD required” on the invoice or in alerts).
    • It does not put the invoice on hold or block printing when the document is missing.
  • BOL/POD Required Enforced
    • Turns the requirement into a hard rule: the system checks for the document and, if it’s missing, treats the invoice as incomplete. Those invoices can be put on hold and the missing documents are listed in the on-hold summary.
  • Summary: Notification = “we want this document” (informational). Enforced = “we hold the invoice until the document is present” (enforcement).
  • Link to Knowledge Base Article: Invoice Preference - BOL & POD

  • This can be found on the Full Form page.
  • Link to Knowledge Base Article: FreightSnap

Popup Modal Dismissal Behavior - Shipment Profile

  • Updated the logic to the popup modals on shipment profiles so that these no longer close when a user accidentally clicks outside of the modal.
  • Users will either have to save, cancel or click the X to exit the modal.

  • Link to Knowledge Base Article Tariff Increment Markup/Markdown

    • Corporate (default) uses company-level contact and does not show a default “Questions? Call … or email …” line on the BOL.
    • Division uses division-level contact and shows that default BOL contact line so customers can reach the correct division.

Enforce Dispute Amount Less Than Invoice

  • Added a new global default lets you require that dispute amounts do not exceed the load/invoice cost.
    • When enabled, saving a dispute will fail with a validation error if the dispute amount is greater than the invoice amount, helping keep disputes within the actual load cost.
